ARTICLE PREPARATION CHECKLIST
AIP Publishing reserves the right to request a replacement file if the article does not meet the requirements listed below. Requesting replacements will hold up the production of volume-
DO
- Prepare your article using our AIP Conference proceedings 8.5 x 11 inch single column template.
- Use Times New Roman font. The point size will vary by section.
- Make sure that all author affiliation associations are correct. This means author vs. affiliation and author vs. email address. If there is only one affliation for all authors, association is not needed.
- Make sure that figures, images, and tables appear within the text and do not follow the Reference section.
- Embed all fonts into your article PDF.
- Make sure that all images and tables fall within the margins of the template.
- Check all figures and images carefully to ensure that they are complete and that no parts are missing or cut off.
- Use clear, legible graphics and diagrams. The font, formulas, tables, and figures should be clear and easy to read.
- Number all tables, figures, and formulas sequentially.
- Place all captions or other information associated with a table, image, or figure on the same page as that table, image, or figure.
DON'T
- Include one-page papers — they are not allowed.
- Add page numbers or headers/footers.
- Use copyrighted material without permission. If you have included previously published figures in your article, you must provide written approval from the copyright holder to re-use the figure. Also, include the appropriate credit line associated with the figure in the caption.
- Alter the margins of our templates

DO
- Include the complete article title.
- Include all authors who are listed on the article. Failure to include an author will result in a request for a replacement copyright form.
- Include the conference editor’s name. If there are multiple editors, include all of their name
- Print your name and sign in the author signature area. Only one author’s signature is required.
- Include the date on which you signed the document.
- Scan the copyright form and save it as a PDF after you sign it.
DON'T
- Sign in the Work Made for Hire section. This area is for the employer to complete and sign, if applicable.
- Sign in the U.S. Government section unless you are an employee of a U.S. Government institution.
- Type your name in script. It won’t count as a signature
How to embed the fonts
- Select File - Print
- Under Printer Name, select the Adobe PDF.
- Click Properties button to the right of the printer name box.
- Select the Adobe PDF settings tab, change Standard under Default Settings to High-Quality Print.
- Then click Edit next to Default Settings
- Click Fonts on the left menu, check off Embed all fonts (it is usually already checked by default),
select Warn and continue from the drop down option, and then click OK.
- When the next window opens, click OK.
- In the next window, click Print. You will have to choose the location to save the embedded file.
- The file must be saved with the identical name.
- The embedded file will open on your desktop.
