Declaration by the Authors

By submitting a paper to CYBPRO 2K25, authors affirm the following declarations:

  • The author(s) are bona fide members of their respective institutions.
  • The work submitted to CYBPRO 2K25 is original and has been carried out by the author(s) themselves.
  • All listed authors have made significant contributions to the research and the writing of the manuscript (applicable for multi-author submissions).
  • The submitting/corresponding author confirms that consent has been obtained from all co-authors prior to including their names in the submission (applicable for multi-author papers).
  • The submitted paper is not currently under review for publication elsewhere, nor will it be submitted to another conference or journal while under consideration by CYBPRO 2K25.
  • If the paper is accepted, at least one of the authors will register for the conference, attend, and present the work.
  • CYBPRO 2025 will be held in hybrid mode; however, authors affiliated with institutions located within 300 kilometers of the conference venue are required to attend in person.
  • The author(s) commit to upholding all publication ethics and standards expected in a peer-reviewed conference.

Rights of the Conference Organiser (CO)

The following terms and conditions apply to all submissions and participants of CYBPRO 2K25:

  • The assignment of papers for review is solely at the discretion of the Conference Organizer (CO).
  • Decisions regarding the acceptance or rejection of papers will be made exclusively by the CO, based on reviewers’ feedback.
  • The CO retains full authority over the development of the conference's technical program, including the scheduling of papers for oral presentations.
  • The CO reserves the right to publish details of accepted papers, including author information, on the official conference website and affiliated platforms.
  • The CO holds the right to modify dates related to any aspect of the conference—including but not limited to paper submission deadlines, result announcements, conference dates, and proceedings publication dates—without prior notice.
  • Even after acceptance and presentation at the conference, any camera-ready paper that fails to meet quality standards in terms of technical content, English language, presentation, or formatting, as per the prescribed guidelines, may be excluded from the final proceedings at the discretion of the CO.
  • Photographs and videos captured during the conference may be freely used by the CO across various platforms. By participating in the conference, all authors and delegates provide their implicit consent for the use of such media.

Withdrawing Paper from the Conference

  • Authors are strongly discouraged from withdrawing their papers after they have been accepted for oral presentation and inclusion in the conference proceedings.
  • In exceptional or unavoidable circumstances, if an author must withdraw their paper, they are required to obtain prior approval from the Conference Organizer (CO) by providing a valid reason and proper justification.
  • Withdrawing a paper without prior permission from the CO is considered a violation of the publication ethics upheld by CYBPRO 2K25 as a peer-reviewed conference.

No Show Paper

  • If a paper is accepted and the author has completed the full registration fee payment but fails to present the paper during the conference, it will be classified as a "no-show" paper.
  • No-show papers will not be included in the official conference proceedings or sent for publication. Presentation at the conference is a mandatory requirement for inclusion in the final published record.

Financial Obligation

The Conference Organizer (CO) will not be liable to refund the registration fee under the following circumstances:

  • If an author fails to present an accepted paper at the conference (i.e., in the case of a no-show paper).
  • If an author withdraws the paper after completing the registration fee payment.
  • If an accepted paper is excluded from the proceedings due to non-compliance with quality standards, including issues related to technical content, language, formatting, or presentation.

All registration fees are non-refundable under the above conditions. Participants are advised to carefully review the conference policies before proceeding with submission and registration.
